What is an LMS?

A learning management system (LMS) is software for delivering and managing learning: courses, content, classes, assessments, progress tracking and certification.

Institutes, companies and EdTech products all use LMS platforms, but they teach very differently, which is why many outgrow generic products.

When a custom LMS makes sense

Build custom when your teaching model doesn't fit off-the-shelf products, when the LMS is your product, when you need deep integrations, or when per-learner fees outweigh the value.

If your needs are standard, a white-label or off-the-shelf LMS can be faster and cheaper.

Features to plan for

Core features include courses, enrolment, content, progress tracking and admin. Most platforms add assessments, live classes, certificates, payments, mobile apps and analytics.

Single-tenant or multi-tenant?

A single-tenant LMS serves one organisation. A multi-tenant LMS serves many organisations from one platform with separate data and branding, which suits EdTech products and white-label offerings.

Choose early: changing later is expensive.

Live classes, recorded courses or both?

Recorded courses suit self-paced learning and scale easily. Live classes suit coaching, doubt-solving and cohort-based programmes. Most institutes need both: live sessions that are recorded and added to the course for revision.

Live classes are usually delivered through an established video service connected to the LMS, rather than built from scratch. The LMS handles scheduling, access, attendance and recordings around it.

Tests, assessments and question banks

For many institutes, tests matter as much as content. Plan the question types you need, how question banks are organised by subject and topic, timed tests, negative marking, sectional limits and how results and rankings are shown.

Good analytics show each learner where they lost marks by topic, and show teachers which topics the whole batch struggles with. That turns tests into teaching decisions.

Protecting your course content

Video and study material are often an institute's most valuable asset. Measures such as signed links, device limits, watermarking and disabling downloads make casual copying harder, though no system can prevent screen recording completely.

Balance protection with learner experience: too many restrictions frustrate paying learners. Decide which content needs the strongest protection.

Mobile apps for learners

Many learners study mainly on phones, so a mobile app or a mobile-first web app is usually essential. Apps add push notifications for classes and tests, and can support offline viewing where content rules allow it.

Migrating from your current platform

If you already use an LMS or a mix of tools, plan migration early: learners and their enrolments, courses and videos, question banks and past results. Run old and new systems side by side briefly, and give learners clear instructions to log in.

Clean data before migration. Duplicate learners, inconsistent course names and missing records are easier to fix before the move than after.
