Dealer management system software: a practical guide

What is a dealer management system?

For manufacturers, a dealer management system (DMS) manages the relationship with dealers and distributors: onboarding, orders, pricing, schemes, targets, claims, payments and the field team that serves them.

The term is also used for software that car and equipment dealerships use to run their own showrooms. This page is about the manufacturer's side: managing a network of dealers.

DMS vs B2B portal vs ERP

An ERP runs your internal operations: production, inventory, purchasing and accounts. A B2B portal is the screen your dealers use to order and check status. A DMS is the wider system for the channel, including schemes, targets, claims, secondary sales and the field team, and it usually includes a dealer portal.

Many manufacturers start with a dealer portal connected to their ERP and grow it into a full DMS.

Getting schemes right

Schemes are where most disputes happen. Write every scheme as clear rules: eligibility, period, slabs, products and payout method. A system can then calculate achievement daily and show dealers where they stand.

Getting dealers to use it

Mapping your channel before building

Integration with your ERP or accounting software

The DMS should not become a second set of books. Decide which system owns which data: typically the ERP or accounting software owns items, stock, invoices and ledgers, and the DMS owns dealer interactions, orders, schemes and field activity.

Orders flow from the DMS to the ERP, and invoices, dispatches and payments flow back. Agree how often data syncs and how errors are handled before building.

Rolling out to dealers and the field team

Start with a pilot region and a group of dealers who are willing to try it. Train your sales team first, because they will help dealers adopt it. Collect feedback for a few weeks before wider rollout.

Make the system useful to dealers from day one, for example faster order confirmation, visible scheme progress and their ledger on their phone. Adoption follows usefulness.
