Project Overview

Social Sphere CRM is our own SaaS product for social media agencies and marketing teams. It brings client workspaces, content calendars, draft posts, media, comments and approvals into one place, so every post has a clear status and a record of who approved what.

Problems worth solving

Agencies were collecting client approvals across WhatsApp, email and chat, with no single record of feedback or sign-off.

Each agency manages many clients, and every client's content, media and comments had to stay separate and private.

Clients needed to review and approve posts without learning a complicated tool.

Media files are large, so uploads had to be fast, secure and counted against plan limits.

The product needed self-serve trials and subscriptions without storing any card data.

Agency teams work on phones as much as laptops, so the product had to feel like an app on mobile.

How we structured the work

Started from the agency workflow: drafts, client feedback, revisions and sign-off.

Modelled workspaces as organisations with roles, so access rules live in one place.

Designed billing around the person who pays, across all their workspaces.

Made media uploads safe and measurable with presigned uploads and reservations.

How we built it

Phase 01

Modelled each agency workspace as an organisation with role-based membership, so owners, team members, clients and viewers each see only what they should.

Built a typed API layer with tRPC and a Drizzle ORM schema on serverless Postgres, split by domain: authentication, tenancy, content and billing.

Stored media in S3-compatible storage through presigned uploads, with short-lived upload reservations that count pending bytes toward storage limits.

Kept an immutable audit log of product and billing actions.
